The Heartland Roadshow, established in 2009, is a premier buyer of estate jewelry, precious metals, gold and silver coins, and collectibles. If you’ve ever seen “Antiques Roadshow,” this is similar to what we do. We set up boutique “buying events” at locations throughout the region, where folks come to sell us their estate items – primarily gold, silver, coins, and watches.
Job Summary
Are you an organized, hands-on supply and fulfillment professional who loves keeping things running smoothly behind the scenes? Heartland Roadshow is seeking a Field Logistics Lead to own the day-to-day execution of our nationwide supply and drop-ship fulfillment operations.
Unlike traditional warehouse roles, this position operates in a zero-stock, drop-ship model. You will process and track supply orders for more than 400 buyers and field team members, coordinate with vendors, reconcile receipts, and help forecast upcoming supply needs. As the lead for the supplies function, you will be the go-to person for supply questions, own our processes and documentation, and help move our supply request workflow onto a ticketing system. This is an individual contributor role with no direct reports, but you will set the standard for how the department operates and partner closely with Field Operations, Training, and Accounting.

Order Processing & Fulfillment: Receive, review, and place supply orders for field teams through third-party suppliers, Amazon, and specialty vendors. Track every order through delivery and resolve delays, damages, and missing items.

Drop-Ship Coordination: Manage the day-to-day drop-ship process so supplies arrive at the right event location, on time, for traveling field staff. Confirm shipping addresses, timelines, and delivery windows against the event schedule.

Vendor Coordination: Serve as the main point of contact for supply vendors. Place orders, follow up on shipments, handle returns and escalations, and gather pricing so leadership can make informed purchasing decisions.

Supply Planning: Review purchasing history and upcoming event schedules to anticipate supply needs, helping prevent shortages and costly rush shipments.

Receipt Reconciliation & Expense Tracking: Match orders, invoices, and receipts, and work with Accounting to keep supply spending accurate and within budget.

Ticketing System Support: Help implement and maintain a ticketing system for supply requests. Log, prioritize, and close tickets, and track response and resolution times.

Training Support: Coordinate supplies for incoming training classes and make sure field kits and materials are accurately assembled and shipped on schedule.

Department Lead Responsibilities
This role has no direct reports, but it is the lead for the supplies and fulfillment function. In that capacity, you will:

Own the process: Write and maintain Standard Operating Procedures (SOPs) for supply requests, vendor escalations, and issue resolution, and keep them current as the business changes.

Be the go-to resource: Act as the first point of contact for supply questions and problems from field teams and internal departments, and see each issue through to resolution.

Spot and fix bottlenecks: Identify what slows down ordering and delivery, and recommend practical improvements to leadership.

Track and report: Monitor key metrics such as order accuracy, on-time delivery, ticket resolution times, and spend, and share regular updates with the Director of Operations Support.

Train others on the process: Show field staff and other team members how to submit requests and use supply tools correctly.

Coordinate across teams: Work with Field Operations, Training, Accounting, and leadership so supply plans line up with event schedules and budgets.

Support compliance: Follow company policies and purchasing guidelines, and document and report any issues to leadership.

Required Education and Experience

3–5 years of relevant experience

Experience working with vendors on orders, pricing, shipping, and issue resolution

Experience tracking orders, reconciling receipts, and supporting expense reporting

Comfort using spreadsheets and data to spot trends and plan ahead

Demonstrated ability to own a process or function independently and serve as a go-to resource for others

Preferred Education and Experience

Experience supporting remote, multi-location, or traveling field teams

Background in drop-ship logistics or vendor-managed inventory models

Experience with ticketing or request-tracking systems

Familiarity with AI or automation tools that streamline administrative work

Familiarity with Google Workspace (Gmail, Drive, Docs, Sheets, Slides, Forms)

Compensation & Benefits
This position is Exempt.
Base Pay Rate / Salary Range Information: The actual amount offered within the posted salary/pay rate range will depend on a variety of factors, including degree obtained/education, experience, skills and abilities, and other relevant job-related factors. The lower end of the salary range applies to candidates who meet minimum qualifications or have limited years of relevant experience; the higher end of the range applies to seasoned candidates with considerable years of direct relevant experience.
